A well-established youth activity provider runs sessions for kids across 300+ locations, opening new sites nearly every week. They have a UK-based client success and retention team of 10 to 20 people, which manages the day-to-day relationship with tens of thousands of families. The kids of these families attend sessions daily, across the UK, US, and Spain.

To manage an operational footprint of that size, the organization had leaned on a bespoke communication system, custom-built and maintained by a single software developer in Wales. It worked, but it was fragile, hard to scale, and increasingly out of step with the leadership team’s ambitions.

The challenge: A bespoke system that couldn’t keep up

Solution: bringing every conversation into one HubSpot inbox

With the organization’s old bespoke system, they did have the ability to trigger automated messages, but the real problem was fragmentation: there was no single place to send, track, or reply to a conversation. In imagining their ideal setup, the team wanted HubSpot to become the center of everything.

That meant finding a messaging provider that could check three boxes at once:

2. A unified inbox for all replies

Before Sinch Engage, replies to automated messages were essentially invisible. There was no shared inbox, and no easy way for the retention team to see who had responded to what.
